For this platform, a heavy vehicle is any goods carrier with a gross vehicle weight above 12 tonnes. This matches the classification used on national highway toll plazas. Lighter commercial vehicles fall outside the scope of the fleet dashboard, and their transactions are not included in the expense reports.
Each badge is registered to a specific vehicle registration number. When the badge passes a toll plaza, the transaction is recorded against that vehicle and then grouped under the fleet account that owns the badge. If a badge is moved to another truck, the new registration must be updated before the next trip, otherwise the charge may appear under the wrong vehicle.
If the plaza camera or the tag reader fails to capture the badge, the toll is not deducted automatically. The vehicle may be flagged for a manual check, and the driver may receive a notice. A charge is disputed when the recorded amount differs from the published tariff for that vehicle class and plaza, or when the transaction is linked to a vehicle that was not on that route at that time. Disputes must be raised within 30 days of the transaction date. After that window, the charge is treated as accepted and can no longer be reviewed.
The fleet account must keep a minimum balance equivalent to the estimated toll cost for the next 24 hours of planned travel. If the balance falls below this threshold, the system sends a notification and pauses automatic top-ups. This rule prevents a truck from reaching a plaza with insufficient funds and facing a manual stop.
